Why supplier certificate expiry management matters
Product claims are often supported by documents that change over time: test reports, material certifications, facility audits, declarations, management-system certificates and conformity records. A document that was valid when a product launched may expire while the product remains on sale. If no one owns the renewal process, teams can continue relying on outdated evidence.
The expiry scanner converts a simple register into an urgency view. It identifies expired documents and records due within 90 days, then creates a calendar file that can be imported into Google Calendar, Outlook, Apple Calendar or another calendar application.
Accepted input
The CSV should contain columns named supplier, certificate and expiry. The expiry value should use a format the browser can interpret consistently, preferably YYYY-MM-DD. Records can also be added one at a time using the form.
How urgency is calculated

What a complete certificate register should include
Expiry date alone is not enough for a mature evidence process. A useful register normally includes supplier, facility, issuing body, certificate number, scope, products or materials covered, issue date, expiry date, verification URL, responsible owner, renewal status and the product claims supported by that document.
Scope control
Confirm that the certificate covers the correct supplier, manufacturing location, material, product family and standard version.
Claim linkage
Record which public or internal claims rely on each certificate. This makes the business impact of expiry visible.
Renewal lead time
Some evidence can be renewed quickly; laboratory testing or facility audits may require months. Set reminders based on operational lead time, not only the expiry date.
Change monitoring
Supplier, material, process or facility changes can invalidate relevance even before a printed expiry date.

- Export the current certificate register from a spreadsheet or supplier portal.
- Run the scanner and review expired and 90-day records.
- Import the generated calendar into the team’s shared compliance calendar.
- Assign each renewal to a named supplier owner.
- Verify the replacement document’s issuer, scope and applicable products.

Which certificate types can I track?
Any record with a supplier name, document name and expiry date can be tracked, including product, facility, testing and sustainability evidence.
Does the scanner verify authenticity?
No. Authenticity, scope, issuing body, product coverage and current status must be checked separately.
What does the calendar download contain?
The ICS file creates renewal events from the expiry dates entered or imported during the browser session.
Is the register stored?
The current utility does not provide permanent storage. Export the calendar or use a monitored evidence system for ongoing operations.
